Dear OLS Community Manager,

I am Coordinator of Outgoing Students at the Higher Education institution.

So, my questions are:

1) How correctly I have to nominate Erasmus programme participants to the NEW OLS system now? I am asking for the exact instructions, because in the previous OLS version coordinators have to nominate exact (already selected) students to accomplish it. Or should students create an account in new OLS version and choose the language they want to study by themselves?

2) Are planning to organize the Zoom/MS Teams meeting about correct and full managing the new OLS version? When?

3) What about Erasmus programme students, who are planning to return back from Erasmus university? How they can finish the 2nd part of the OLS? Please provide current instructions :-)

Thank you very much for your patience while I conducted my research. Here's what I found out for you:

As a coordinator with an institution, you are a Beneficiary. Beneficiaries manage administrative tasks for participants; like nominating students, for example.

All administrative questions are managed by your Erasmus National Agency. These agencies will also coordinate and share information directly with beneficiaries regarding official training for using the OLS platform as a beneficiary.

From your National Agency, you should also receive an email that has the official instructions for how to invite your students to register on the new OLS Platform. Once you send the invitation to your students, the students will click the link to self-enroll into their language courses and community.

OLS Community managers support users once they register with the OLS platform by supporting their mobility experience from the perspective of language learning, living abroad, and anything that will help enhance their mobility experience. We will have online activities and forums – just to name a few.

While we do not help with the administrative side; we are nevertheless here to support all users, including beneficiaries. We plan to have Open Days and other live events to orient users to the platform and also to get to know each other. Once dates for live events are scheduled; announcements will be sent from each language community. For example, for English, you can expect to receive announcements and updates from me.

I am a beneficiary and I cannot find an OLS dashboard to monitor my mobility participants:

I am supervising mobility participants who need to complete the OLS language assessment. What should I tell them?

There seems to be no BEN USER login for the new OLS. Will there be a dashboard page for institutions? If yes, could you please share with us the required information?

The OLS Assistance page is frequently updated, so feel free to check back in addition to being in contact with your institution's National Agency for further administrative questions.

Regarding your third question; if I understand correctly, are you referring to the language test? There isn't a second part of OLS. The language exam can be taken multiple times by participants.

I am writing to share an update we’ve just received regarding language assessment results.

Please see below:

“The language assessment is compulsory only for Higher Education students and recent graduates whose mobility program lasts 14 days or more.

(Please note: this does not apply to Staff” participants. Staff participants are not required to take the language assessment.)

We are working hard to allow you to download a pdf with the results of your language assessment. In the meantime, as a temporary solution, please take a screenshot of your results page.”

Perhaps you might need a certificate in the future and if so, please know that we will update the community once this is available.
